CASE STUDY · FIT-OUT & INTERIORS

It started as one WhatsApp agent.
It became the system the company runs on.

Hashtag Interiors is a Dubai design and fit-out contractor. We were brought in to stop enquiries going cold overnight. Eighteen people now work inside what we built.

THE PROBLEM

Nobody was losing jobs on price.

Fit-out enquiries in Dubai arrive the way everything arrives here: WhatsApp, at odd hours, from someone who has just messaged three other contractors from the same handover group.

The team was good and the work was good. But an enquiry that lands at 23:20 gets read at 08:40, and by then the client has already had a reply from someone else. Not a better reply. Just an earlier one.

The contractor who wins the villa isn't better than you. He was just awake.
23:20 · THU
She WhatsApps three contractors from her Dubai Hills handover group.
23:21
One of them replies. Not the best one — the one that was awake.
08:40 · FRI
The team opens the phone and sees the message for the first time.
09:05
She has already booked the site visit. The villa was lost before breakfast.

Underneath that was a second problem, less visible and more expensive: nobody could see the enquiries at all. They lived in individual phones. There was no single place where a partner could look and know what was live, who owned it, and what was about to go cold.

WHAT WE BUILT

One agent first. Then the system around it.

We didn't propose a platform. We built the smallest thing that would stop the bleeding, put it live, and let the rest be earned.

01 · THE WEDGE

The enquiry agent

Every enquiry answered the moment it lands, on the company's own WhatsApp number, at any hour. It establishes what the client wants, where the property is and roughly what scale of job it is — then hands over a qualified enquiry instead of a missed notification.

02 · THE REACH

Five languages, no extra hires

Enquiries arrive in English, Arabic, French, Russian and Hindi or Urdu — and are handled in all of them. In this market that isn't a nice-to-have; it is a category of client the company simply could not serve at speed before.

03 · THE ALERT

The sales lead gets told

A qualified enquiry pushes an alert to the sales lead through an approved Meta template, so the human enters the conversation already knowing what it is — rather than scrolling to find out whether it matters.

04 · THE SYSTEM

A pipeline everyone can see

Every enquiry became a tracked deal moving through named stages, from first contact to won. For the first time there is one place a partner can open to see what is live, who owns it, and what hasn't moved.

05 · THE PAPERWORK

Proposals from inside the system

The commercial proposal and bill of quantities are generated in the company's own format, from the deal that's already in the system — instead of being rebuilt by hand in a document every time.

06 · THE COCKPIT

The day, prepared

A daily view of what needs chasing, what's gone quiet and what came in overnight — so the morning starts from a plan rather than from an inbox.

SPOTLIGHT 01 · DESIGN STUDIO

A direction back
while she's still on the phone.

A client sends a photo of an empty room. She gets a direction back — built from this company's own completed projects, so it comes back in their materials, their palette, their detailing.

A phone snap in, two directions back — on the same call

A mood, not a construction render. Nothing dimensioned, nothing a joiner would build from — and the design lead approves every visual before it ever reaches a client. The 3ds Max work still happens; it just happens for signed jobs now.

SPOTLIGHT 02 · THE ENQUIRY AGENT

Two hundred conversations a day.
Five worth your time.

The agent takes every one of them — at any hour, in five languages — establishes what the client actually wants, and hands over the handful that are real. Nobody reads two hundred messages to find five.

This was not possible before — at any headcount. Two hundred conversations a day, in five languages, around the clock, is not a job you can hire for. It runs every day.

HOW IT WENT

Live in two days. Adopted in one.

Days 1–2

Live on the real number

Not a demo environment and not a sandbox — the company's actual WhatsApp number, taking actual enquiries from actual clients. The fastest way to find out whether something works is to let it work.

The weeks after

Scope grew from use, not from a roadmap

Every extension — the pipeline, the proposal generation, the daily cockpit — came from the team asking for it after living with the previous piece. Team access was a client request, not a feature we sold.

Rollout day

Eighteen out of eighteen

The whole company onboarded in a single pass: 18 invitations sent, 18 delivered, zero failures, with every person's access checked individually before the invitations went out. Nobody spent rollout week chasing logins.

Today

It's where the work happens

What began as a way to answer WhatsApp faster is now the system the sales, design and operations teams work in. That is the actual measure: not whether people were impressed, but whether they kept using it.

What we're not going to claim

We could put a conversion uplift on this page. We're not going to, because we haven't independently measured one, and a number you can't show the working for is worse than no number.

What we can stand behind is what's above: it went live in two days on a real number, eighteen people adopted it, it handles five languages around the clock, and it's still the system they work in. Everything else is the client's to say, not ours.

THE PATTERN

This is how all of them start.

Nobody buys an operating system on day one. They buy one agent that fixes one thing they can feel — and if it works, the rest follows on its own.

The same shape has now run in clinics, real estate, hospitality and professional services. The leak is different every time. The sequence isn't: find the one that costs the most, build there first, prove it, then widen.
